Privacy policy

RAPlanner is a small tool for organising match-day duties within a youth football team. This page explains what information we collect, why, and what rights you have over it.

Who's responsible for your data

RAPlanner is run by Sportvereniging RAP (KvK 40531910), Aanloop 4, 1183 SZ Amstelveen, the Netherlands. The club is the data controller for the information stored in RAPlanner.

What we collect

Your name, email address, and anything you choose to add to your profile — phone number, your child's name, a profile photo, and whether you're willing to referee. Team leaders also see your duty history and, if carpooling is enabled for your team, your ride offers and claims.

Children's data

Your child's first name may appear next to your profile so team leaders know who they're arranging duties around. We don't collect anything directly from children — it's entered by a parent or guardian, and used only within the team's schedule.

How it's used, and on what basis

We use this information to run the duty schedule: showing who's signed up for what, helping team leaders assign duties fairly, and sending you emails like sign-in links, invites and schedule exports. We process it because it's necessary to provide the club's membership services to you or your child, and — for optional details like a profile photo or refereeing preference — because you've chosen to add them.

Who can see it, and who processes it for us

Your details are visible to other members of your team and to your team leaders and club admins. To run RAPlanner we use a small number of processors who host or send data on our behalf — Vercel and Neon for application hosting and the database, and Amazon SES for email delivery — under agreements limiting them to that purpose only. We don't sell or share your data with anyone outside the club, and we don't use it for advertising.

How long we keep it

Your account and duty history are kept for as long as you or your child are a member of the club. When membership ends, your team leader or club admin can have your account deleted, which permanently removes your sign-in, team memberships and duty history.

Keeping your data safe

We use reputable hosting providers over encrypted connections, and restrict access to your data to the team leaders and admins of your own team. Where a password is used to sign in, it's never stored in plain text.

Your rights

Under the GDPR you can ask to see, correct or delete the data we hold about you, ask us to restrict how we use it, request a copy in a portable format, or object to processing based on legitimate interest. Contact your team leader, club admin, or privacy@raplanner.nl to exercise any of these.

Complaints

If you're unhappy with how we've handled your data, we'd like the chance to put it right directly — but you're also free to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), autoriteitpersoonsgegevens.nl.

Changes to this policy

We may update this policy from time to time. If a change affects how we use data we've already collected, we'll let members know by email.
